Update to speed budget reporting on PAWS site

A new update will help keep processing time down for monthly budget reports on the PAWS website.

Due to excessive processing time, a recent PeopleSoft update has been installed to aid Financial Services in their preparation of processing the monthly budget reports. With the update, only a month by month detailed report can be run.

“Something had to be done,” said Assistant Controller for Financial Services Carla Asbell. “And so now the reports are basically the same report you’ve always gotten except it will be one month at a time.”

The new update will improve many aspects. The report takes less time to build in the Financial Services department before it is sent over to Office of Informational and Instructional Technology. “It took us four days in this office to get those reports run and ready to send to information technology,” said Asbell.

This processing time conflicted with the department’s commitment to get the reports out in five working days.

Also, when the report is being run without the option of a summary report, less space is taken on the server, resulting in faster download time and less traffic.

“When they summarize it, the processing time takes a lot longer because it’s tallying and totaling and all that kind of stuff,” said Director of Administrative Computing Services Kay Graham. “If they do the detail, [it] takes a lot less time. It is because of the processing time that they limited it to the detailed report.”

Monthly budget reports are put on the PAWS website every month in order to allow departments to evaluate how their expenditures compare against what’s been budgeted. Only department heads and one other person assigned by a department head can view these reports.

The reports are also often used when organizing for budget requests. The PeopleSoft program was installed in 2002 and there have been periodic updates ever year. The new update does not affect grant or revenue reports, Asbell said.
